Wedding Transportation: 10 Questions to Ask Before You Book

Wedding transportation is easy to book and easy to get wrong. These ten questions, asked before you sign anything, cover the problems couples run into most. We have included our own answers so you can compare.

1. Are the vehicles commercially insured?

Ask for a clear yes. Ours: every vehicle is commercially insured.

2. Who are the chauffeurs?

Ask how drivers are vetted. Ours are licensed, experienced, trained and background-checked.

3. How many cars do we actually need?

Most couples need one car for themselves and one for the wedding party; larger families add a 15-seat van for guests. A good company works this out from your timeline.

4. Will you send a schedule for each car?

A run sheet per car, with times, addresses and who rides, is the single most useful document on the day.

5. Do we pay while the car waits?

On hourly bookings the waiting is part of the hours; for drop-offs only, point to point runs cost less.

6. What if the reception runs late?

Ask whether hours can be extended on the night. Ours can, if the car is free; building some slack into the booking is wiser.

7. Can the car be decorated?

Flowers, ribbons or a Just Married sign are fine with us; mention it when you book.

8. Can you shuttle guests and collect them from the airport?

A passenger van carries 15 guests per run, and out-of-town guests can be met at PHL with flight tracking.

9. Is gratuity included?

Often not. Ours is not; 15 to 20 percent is typical.

10. What is the cancellation policy?

Get it in writing. Ours: local trips can be cancelled up to 24 hours before pickup; see the cancellation policy.

Frequently asked questions

How early should we book wedding cars?

As soon as the date and venues are set; spring and autumn Saturdays fill first.

Do we need a car for the parents?

Often, yes: a sedan or SUV point to point between venues works well.

Can the van make several guest runs?

Yes. One van can shuttle guests between the hotel and the venue several times.

Will you meet guests at the airport?

Yes, with flight tracking and meet and greet inside the terminal.
